Editing is not proofreading

Editing is about structure, argument and flow. Proofreading is about typos and mechanics. Doing them at the same time is why most writers dread editing — they're solving two problems at once.

Do them in separate passes. Each pass gets faster because it has a clear job.

The four-pass method

Pass 1 — Structural edit

Read the whole piece without stopping. Then ask: is the argument clear? Are sections in the right order? Should anything be cut?

Pass 2 — Line edit

Read paragraph by paragraph. Shorten sentences, replace weak verbs, cut adverbs, add examples where you skated over something.

Pass 3 — Mechanical clean-up

Run through the toolset: Remove Extra Spaces, Text Case Converter on headings, Duplicate Line Remover on lists, Keyword Density Checker for SEO balance.

Pass 4 — Proofread

Read aloud. Watch for typos, homophones and dropped words that spellcheck misses.

Time budgets that work

A 1,500-word blog post should take about 45 minutes across all four passes: 15 for structural, 15 for line, 5 for mechanical, 10 for proofreading. Anything more and you're probably over-editing.

Frequently asked questions

Should I edit my own work or hire an editor?
For most independent writers, self-editing with a structured method is enough. Hire an editor for high-stakes pieces or when you're stuck on a persistent structural problem.
How long should I leave a draft before editing?
At least overnight. Fresh eyes catch things you can't see when the words are still warm.
Is reading aloud really necessary?
Yes. It catches sentence-length and rhythm problems that silent reading skips over.
